Potomac Local Section Position Descriptions


The Potomac Section Board of Directors consists of seven Officers: President, President-Elect, Immediate Past President, Secretary, Secretary-Elect, Treasurer, and Treasurer-Elect; and five At-Large Directors, one of whom will serve as the Webmaster/ Web Administrator.

President-Elect

The President-Elect presides at all Membership and Board meetings in the President’s absence, is Chair of the Program Committee, responsible for developing/coordinating the Potomac Section programs, and with the President, oversees the Treasurer’s financial reports.

The President-Elect serves a one-year term, then automatically succeeds the President to fill that one-year term. As President, duties will include providing leadership and direction to the year’s activities, presiding as Chair at all Membership and Board meetings, and appointing committee chairs/members. Upon term completion, the President becomes the Immediate Past President and is responsible for providing continued leadership and support to the board and for leading the election process for the next year’s board.


Secretary

The Secretary shall be responsible to ensure that notice of all meetings of the Potomac Section and Potomac Section Board of Directors is given, ensure that an accurate list of the Members is maintained, keep a record of the transactions of business that may come before such meetings and disseminate meeting minutes to the Board within ten days after the meeting, circulate the Notice of Annual Election, and be custodian of the records of the Potomac Section. The Secretary shall serve a one-year term. After the Annual Meeting of the Potomac Section, the Secretary shall transfer to his/her successor in office, all records and property of the Potomac Section. 


Secretary-Elect

The Secretary-Elect assists the Secretary with correspondence and records, performing those duties in the Secretary’s absence. The Secretary-Elect serves a one-year term, then automatically succeeds the Secretary to fill that one-year term. As Secretary, duties will include ensuring that Meeting Notifications and the Notice of Annual Election are circulated to membership, ensuring the maintenance of accurate membership lists, keeping a record of business transactions at Board and Membership meetings, disseminating meeting minutes to the Board within ten days post-meeting, and being custodian of Potomac Section records.

Treasurer-Elect

The Treasurer-Elect assists the Treasurer with financial matters, performing those duties in the Treasurer’s absence.  The Treasurer-elect serves a two-year term, then automatically succeeds the Treasurer to fill that two-year term.  As Treasurer, duties will include receiving and being the custodian of all funds of the Potomac Section, disbursing funds authorized by the Board, and preparing/submitting quarterly financial reports to the Board, as well as an annual financial report with a budget for the next year.  The Treasurer, upon term completion, transfers all Section funds, financial accounts and financial property to the Treasurer-elect.

At-Large Directors

At-Large Directors perform various duties in support of local section activities, such as serving as a chair or member of committees, or helping the President-Elect organize a membership meeting or professional development event. Directors serve two-year terms; the five positions are elected in staggered intervals.


At-Large Director for Web Administration

The Webmaster will be managing member platforms on open source content management systems. This position will be responsible for managing all aspects of the Potomac Section website to include but not limited to: maintaining and updating website content, creating Website event invites, maintaining security of the website including regular updating of the platform, providing customer service to users, and providing web-based data to the Board of Directors upon request.
